Turning enquiries into bookings: the first-reply playbook

Most weddings are won or lost in the first reply. Here's how fast, personal responses turn cold enquiries into booked clients.

When a couple sends an enquiry, they almost always send several. The vendor who replies first, and best, has a structural advantage — often before price even comes up.

Speed is the cheapest edge you have

Reply within an hour and you’re frequently the first response in their inbox. Within the day is fine; a week later, they’ve usually booked someone else. If you can’t be fast manually, automate the first touch.

Make the first reply personal, not a brochure

Reference their date, their venue, their names. Three specific sentences beat three paragraphs of boilerplate. You’re proving you read their message and that a real person is on the other end.

Always end with one clear next step

“Are you free for a quick call Thursday?” converts far better than “let me know if you have questions.” Give them a single, easy yes.

Track every enquiry like it’s worth thousands

Because it is. A lead that slips through the cracks is the most expensive marketing mistake there is. A simple pipeline — new, contacted, quoted, booked — keeps anyone from being forgotten.
